What if your CRM could work harder than your most reliable employee — without coffee breaks, sick days, or even a paycheck?
This week we’re sitting down with Nicole Hoffman from VSCO Workspace (yep, the platform formerly known as Tave) — and Alison hijacked the first 20 minutes with her own personal support questions before we even hit record. Classic. Nicole is a wedding and family photographer based in New Jersey, 14 years into her own business, who also happens to live on the VSCO Workspace support team. And when I landed on TaVE, all the automations and all the reporting and all the things that I was able to do, I have stayed with them.

So I think two months ago, I messaged Allison.

I was like, I’m an idiot.

Why haven’t I ever upgraded this so that I could have stuff go to diff so I could have different emails and have different headers?

I would have a header that was PPR and Melissa Arlene Photography, and it just went to everybody whether they that way I was like, well, it doesn’t matter which one they’re coming in on.

So I actually just upgraded, so I have the the two business pack and stuff.

So I, like, was like, I need something for keeping track of all this stuff for all these different types of clients, and I don’t know what it’s called.

And so I really needed more systems and workflow.

So I found it, I think, through, like, a Facebook group.

And then literally being so active in there helping other people use it, they the two cofounders reached out to me, and they were like, do you wanna come across?

I actually was working at a law firm.

I had just graduated law school couple years prior, so I left that whole career by Oh, you tell.

So I think I and I’ve heard the stat before, and I don’t know if the number’s exact, but I feel like I always hear, like, so many photography so many photography will fail in the first, like, two to five years.

Because they don’t have the business side of things figured out, which makes sense because so many photographers and other creatives, you know, they’re they’re creative minded.

So I think they just go into it for the passion of the creativity, and then they kind of scramble everything together.

And so I think getting everything into a CRM, which, like I said before, I didn’t even know what a CRM was.

So I think part of the problem is educating photographers on the type of tool that they could benefit from.

But, yeah, they they spend so much time working on these back end tasks way more than shooting.

And but they don’t put the the work into learning how to develop workflows and how to come up with good procedures.

And and really having that makes you look so much more professional.

I mean, at this point, I was telling Nicole, I have it so automated that I barely go in.

I go in when I get a new inquiry, And then after that, my automations take over, and then I send the quote and it and then they get emails and stuff after because I’ve just for so many years.

I always say it’s my best paid employee, on my team because it’s it literally does so much what I could pay somebody a full time salary easily to do.

And that’s just kind of checking on things, doing a few, like,

for somebody who doesn’t have a CRM or or is thinking about switching specifically when it comes to these automations, what are I know I could get into the nitty gritty of what I have set up for emails and stuff, but there are these things called, correct me if I’m wrong, Nicole, observable items or actions.

And so things like whether or not an invoice is paid, whether or not a questionnaire is completed, whether or not they’ve done a whole list of other things.

I have automations like We’re having a response

on a certain amount of news.

That’s my favorite.

So if

they don’t pay an invoice, I have an automation every forty eight hours.

I think it goes up to 12 or 14 and it’s actually had to go up to twelve, the twelfth day here recently where they get an invoice forty eight hours.

If they don’t respond, they get it, hey, action required.

And then two days later and then two days later.

And I think I have automations up to fourteen days out Just repeating the thing same thing over and over, and I touch nothing, but they are constantly getting reminder.

And then the same thing with a questionnaire.

Anytime books with me, they get an invoice and a questionnaire at the same time.

And if the if those things go undone up to two weeks, they’re constantly getting now after two weeks, then if they haven’t done it, I, I gotta get on it and figure it out.

But I get these little wrap ups every day of my automated activities.

And I look at that because I need to, that’s how I track who’s doing what, who’s staying on top of things and why things aren’t firing because that’s happened recently too.

So like, what are some other bookable or observable actions that people can automate based off of?

You can automate, gosh, I think even know how many we have now, probably like over 20 or so things that can trigger an automation.

And so it could be, like you said, you know, obviously, lead coming in.

You could trigger things based on that lead status, which is a really Yeah.

It just helps you, like, give people the proper experience.

You can do things based on contracts, being signed, questionnaires coming through, obviously, invoices being due.

And then trying to think of other gosh.

So many things based on different events happening.

So if you’re a wedding photographer, you can have things go out or happen, before or after engagement sessions, consultation, the wedding.

You can have you can really tailor it.

Because I you know, as a

portrait photographer, all I have is the one primary session.

But I can imagine for, you know, a wedding workflow where you’re gonna have engagements or bridal or, you know, the actual date itself, all these things can be observable and triggered by different milestones within a year or longer process.

For my weddings.

And it was great because, like, I used the starter template that they had and then I added onto it.

And I had it all mapped out from, yeah, engagement all the way through.

And so I think emails, of course, like being the most popular action that people take with automations.

I know we were talking before we started recording, but automations people get I think creatives are afraid of because they think like, oh, it’s gonna be robotic.

It’s gonna look fake.

They’re gonna know it’s not coming from me personally.

Or it’s gonna land in Slack.

Or something.

But the way that you can do automations with, FSCO Workspace is very it looks very personalized.

We have tokens, so you can pull in, like, really specific data about the person.

You can make it very look very personalized.

You can also automate emails to be drafted, instead of actually sent so that you have that final check to, like, personalize something even more if you need to.

And then just odd like, emails in general, like, people feel like they’re bothering their clients, but, really, they’re giving them the best experience by saying, oh, my gosh.

I’ve had so many couples who well, like, I would have their final meeting with them before their wedding, and I’ve had multiple times.

I can’t even tell you how many where even, like, the groom is so impressed.

And he’s like, you’re, like, the only vendor that’s reached out to us along this whole journey, unless Oh my gosh.

For vendors that are only reaching out when they wanna get paid.

And they’re like, you actually, like, stayed in touch with us.

And and then I’ve even had other people before a consultation where I send text reminders now through Workspace.

I send other, you know, email reminders and confirmations up to, like, an hour before.

You know, you could really personalize and and customize those things.

And they’ve been so appreciative.

They’ll thank you for cons for they’re like, we know it’s automated, but we need that reminder.
